QUILT ENTRY PROCEDURES
 

Thank you for the support of the Quilt Show! Please review the info below to be sure you don’t miss any important dates. We look forward to seeing what you have been creating.

PARTICIPATION:

Current members are eligible to both enter items in our annual Fall Quilt Show and sell quilts and items in the Boutique at the show.

All guild members  are asked to sell at least $30.00 worth of Raffle Tickets for the Raffle Quilt.

Members entering a quilt(s) are asked to volunteer at the quilt show (hostess, raffle sales or admissions table) for a 2 hour period.  Sign up at a Guild meeting. Members can work with the Quilt Show Chair or co-Chair if this is a hardship.  We will also sell raffle tickets at the Outdoor Eureka Quilt Show on August 1st, 2026. We always need help. Contact Lannette Cuffe 406-249-1178 with questions.  It is helpful and very appreciated if any and all members entering quilts in the Quilt Show help with Thursday set-up and/or Saturday afternoon take down.

We hope to get broad participation from the guild membership again this year, especially newer members.  We will be having a drawing at the October meeting and awarding a prize to one of our first-time entrants.

 

QUILT REQUIREMENTS:

All quilts displayed and entered in the Quilt Show must be finished. (Please note there is an exception for the exhibit of the Heirloom Quilts. These may be just tops or finished.)  If for some reason you are not able to finish your quilt, please notify Lannette Cuffe 406-249-1178 as soon as possible so that our lay-out and set-up stays very professional and appealing. We don’t want blank spaces! 

Members can enter quilts if they are the Maker, the Quilter, OR are the Owner of the quilt. Quilts may only be entered in the FQG Quilt Show one time.

ENTRY/CATEGORIES:

All entries will be via the online form at flatheadquilters.org  

Please review the categories and the respective definitions in the newsletter or on the website. Ask if you have questions about the categories.  Enter your quilt in the category you think represents it best. A continuing issue is quilts that don’t meet the size requirements for their category – please double check the quilt perimeter. This is important for show layout.

Quilt Stories are really enjoyed by the viewing public. Note that you must complete the Quilt Story as part of your quilt registration. You can compose and edit them ahead of time and cut and paste them into the form to save time and typos.

 

This year we are adding a Special Exhibit this year to highlight vintage quilts.  THIS WILL BE A NON-VOTING CATEGORY. There is a limit of 3 per member. Note these can be an unfinished top or a completed quilt.

 

As we are Celebrating our Nations 250th Anniversary, there is also a special exhibit of Patriotic Quilts. Entries will not be judged, only one quilt per guild member, AND…the entry could have been shown before.  This is the only time you could enter a quilt from a previous show.

 

Last year our building was near capacity with quilts!  We are not placing a limit on the number of quilts an individual can enter, unless we just can’t fit all our entries in the space available.  If that happens, we might ask those with more than five entries to prioritize their quilts.

Non-members may enter quilts and they will be accepted based on space availability. There is a $75 fee for the 1st quilt accepted, and $10 for any additional quilt submitted and accepted. The fee would be due at the fairgrounds when the quilts are delivered for set-up on Thursday September 17, 2026.

 

The Junior Quilter category is the exception to this rule and does not require a Guild membership or entry fee.

All quilt sales go through the Boutique.  Members will be charged 15% commission. Please plan accordingly when you price your quilt.  If you have a quilt for sale in the Show, you must obtain a boutique consignment number.  Please watch the newsletter and website for more boutique announcements.

IMPORTANT DATES:

Registration DEADLINE is August 10, 2026 utilizing the on-line form.  Assisted registration is available by contacting one of the registration team members.

 

Quilts need to be delivered to the Northwest Montana Fairgrounds, EXPO Building for show set-up between 10 am and 2 pm of Thursday September 17, 2026.

Quilt pick up with correct identification (phone or email copy of registration confirmation) on Saturday, September 19, 2026 at approximately 5 pm. Quilts will be released from the Show after all quilts are taken down, bagged and sorted. The only exception will be sold quilts which will be released first, at the close of the show, to the buyer with proof of purchase from the Boutique.

Anyone registering and entering a quilt(s) in the show acknowledges the Hold Harmless Agreement. They are referred to as the submitter in this agreement. The submitter agrees to abide by all conditions stated on the 2026 Quilt Show Information & Procedures sheet. The submitter also agrees to permit the Flathead Quilters’ Guild (FGQ) to display. The submitter grants FQG the right to photograph this entry(s) for FQG files, publicity and/or promotion purposes, which may include print, website, Facebook posts or video. The submitter understands care will be taken to protect their entry(s) and understands that no responsibility for loss or damage to their entry(s) will be assumed by FQG or the Northwest Montana Fairgrounds.
